About the Role:
The Senior Correspondence Officer will assist the Principal Advisor in prioritising and managing a high volume of confidential, often complex and sensitive correspondence for the Office of the Executive Director.
You will have responsibility for (but not limited to) the following:
- Coordinate the distribution, tracking and flow of briefings and correspondence in consultation with divisional officers, provide quality assurance checks for the approval of senior executives, whilst meeting competing deadlines.
- Ensure that briefings and correspondence are prepared in accordance with the Department's Style Guide and Ministerial and Executive Services Guidelines.
- Manage a busy mailbox and prioritise workload in order to meet deadlines, provide support to the nominated Executive.
- Establish and maintain strong working relationships and networks with clients and departmental officers to ensure a culture of service delivery and achievement of negotiated outcomes.
- Search electronic and paper records, including the department's electronic document records management system for information and documents required by clients and ensure that requests are processed promptly and within set timeframes.
About you:
It would be highly desirable to have the following skills and experience:
- Demonstrated high level skills in researching, preparing and editing briefs and correspondence with the ability to adhere to required organisational standards.
- Demonstrated ability to manage competing priorities in a fast-paced, maintain positive relationships and achieve successful outcomes
- High level of knowledge and proven ability in processes and systems used to manage a high volume of executive documents and maintain confidentiality.
- Experience using Content Manager is highly desirable
