About the Role:
The Senior Correspondence Officer is responsible for (but not limited to) the following:
- Coordinating the distribution, tracking and flow of correspondence and briefing materials for the Deputy Director-General Infrastructure Services, while effectively managing competing priorities and deadlines.
- Preparing responses to incoming Ministerial, Director-General, Deputy Director-General, Assistant Director-General and Executive Director correspondence and requests, in consultation with the Director ODDG, as well as regional and departmental officers.
- Managing and monitoring the progress of incoming cabinet requests, submissions, reports, and briefing material to ensure timely delivery and appropriate follow-up.
- Coordinating and managing parliamentary information required by the Minister, such as Ministerial Statements, Questions on Notice, Estimates, and Possible Parliamentary Questions, ensuring tight deadlines are met.
- Reviewing and analysing documentation to ensure accuracy, consistency with legislation and departmental policies, and compliance with departmental style and visual guidelines.
- Assisting with communication and liaison between the Office of the Deputy Director-General and the Ministerial and Executive Services Unit.
- Building and maintaining effective working relationships across Infrastructure Services and the broader department to support the division's operations.
About You:
To be successful in the role you will possess the following attributes:
- Understands the work environment and has high level skills in researching, preparing and editing briefs and correspondence with the ability to adhere to required organisational standards.
- Demonstrated ability to establish priorities and achieve successful outcomes within a pressured environment and under specific deadlines.
- Exceptional attention to detail to ensure the quality and accuracy of all written materials.
- Possess a positive attitude with a demonstrated ability to develop and maintain stakeholder relationships.
- Have a proactive approach to completing a range of tasks, with the ability to work both autonomously and as part of a team.
- High level of knowledge and proven ability in processes and systems used to manage a high volume of executive documents while maintaining confidentiality.
- High level interpersonal, written and oral communication skills including liaison, consultation and negotiation skills demonstrated through interactions with internal and external stakeholders in the preparation of reports, ministerial, parliamentary and executive documents, briefing papers and correspondence.
