Melbourne Girls Grammar is a leading independent girls' school with a proud 133-year history. Our Archives and digital records systems play a vital role in preserving the School's history, supporting compliance, and ensuring the secure management of information across the organisation.
We are seeking a skilled and passionate School Archivist and records Manager to join the Marketing and Community Engagement team and help steward both the School's heritage collections and its contemporary digital recordkeeping practices.
Reporting to the Executive Director of Marketing and Community Engagement, the role is responsible for the accurate acquisition, organisation, preservation and accessibility of the School's physical archives and digital records. Supporting students, staff, alumnae and volunteers, the Archivist and Records Manager safeguards the School's legacy while promoting excellence, innovation and best practice in records and information management.
Key Responsibilities:
- Manage, preserve and catalogue physical, digital and historical archives.
- Protect the integrity, confidentiality and long-term preservation of all records.
- Accession and process archival materials, including the School's art collection and memorabilia.
- Maintain and enhance digital asset management systems using MGGS platforms.
- Develop archival displays and contribute historical insights to School publications and events.
- Lead best-practice records management across the School, including compliance with statutory requirements (PROV).
- Oversee digital records, student files and secure information systems in collaboration with the IT team.
- Respond to internal and external records requests, including FOI enquiries and legal subpoenas.

About You:
You are a highly organised and detail-orientated professional with a passion for both history and digital information systems. You show initiative, enjoy working autonomously, and thrive in a collaborative community environment.
You will also Demonstrate:
- Qualifications in Information Studies, Archives & records Management or a related field.
- Strong experience with archival systems, digital preservation and records management.
- Excellent interpersonal and communication skills across diverse age groups.
- High digital literacy, including experience with archival management systems, Microsoft Teams, Adobe Creative Suite and other relevant platforms.
- Demonstrated commitment to improving and modernising archival and recordkeeping practices.
- Experience in project management and developing displays or exhibitions.
