About the Role

The Executive Assistant: Finance and Property provides executive support and coordination across a range of functions for the Director to support the effective functioning of the directorate.

Major Accountabilities

  • providing a range of executive administrative support services to enable the Director to perform their leadership responsibilities effectively
  • appropriately managing the expectations of internal and external stakeholders, while preserving the Director’s time and availability
  • providing general administrative support to leaders within the directorate
  • ensuring the timely management of content and flow of information through the directorate
  • providing administrative preparation and coordination of records, reports and executive level correspondence to assist decision making
  • updating and maintaining records and databases, and complying with administrative systems and processes to ensure that all information is accurate, stored correctly and accessible in online systems
  • overseeing meeting management including prioritisation, meeting papers, taking and distributing minutes, following up actions, coordinating guests and availability of necessary paperwork
  • coordinating travel arrangements, including itineraries, accommodation, and logistics
  • coordinating directorate related events and activities
  • maintaining confidentiality while handling sensitive information and communications
  • performing the role of Secretariat for the Capital Works Committee
  • and all other tasks listed in the role description, or assigned from time to time.

About You

The successful candidate will also possess the following:

  • Certificate III/IV or equivalent qualification in administration
  • minimum 5 years’ experience in an Executive Assistant or senior administrative role
  • demonstrated success providing administrative support to leaders
  • ability to deliver excellent customer and client service
  • demonstrated experience coordinating meetings including managing agendas and following-up actions, Proven ability to organise a daily workload by priorities and work effectively in a team environment
  • proven ability to meet deadlines in a fast-paced, quickly changing environment
  • technology proficiency in Google Suite and Microsoft Office Suite
  • willingness to respect, support, and uphold the mission, ethos, and teachings of the Catholic Church and the values of SCS.
