Your Responsibilities
As the Executive Assistant, your responsibilities will include, but are not limited to:
- The successful applicant will be required to liaise with other Government departments, schools, industry and business, with a focus on a high level of client services.
- Monitor and Manage the school's ‘principal' email accounts.
- Process, distribute and file incoming and outgoing correspondence.
- Monitor and screen incoming telephone calls and correspondence to the office and where necessary direct these to the appropriate areas.
- Coordinate the provision of administrative and executive support to conferences and meetings, including organising room bookings, travel, accommodation and registrations.
- Coordinate Right to Information (RTI) and Legal Search requests.
- Prepare and distribute confidential documents for School Council meetings and attend to take minutes.
- Use databases to process information and produce reports. Maintain OneSchool management and administrative databases as required.
- Recruitment Support - Document support, Communication and logistics.
- Set-up and manage booking software e.g.: Parent /Teacher interviews etc
- Assist with school events as required.
- Maintain school policy documents and school plans and amend and update as necessary.
Highly Desirable Skills And Experiences
Highly desirable but not mandatory skills and experiences are:
- Excellent verbal and written communication skills.
- The successful applicant will be required to liaise with other Government departments, schools, industry and business, with a focus on a high level of client services.
- Strong interpersonal and customer service skills.
- Ability to work independently, be self-motivated and proactive.
- Demonstrated experience in managing dairies and calendars.
- Excellent organisational and time management skills.
- High level of proficiency and demonstrated ability in the use of Microsoft Suite, TryBooking, SOBS, Onceschool etc.
- Ability to think logically and solve problems.
- Strong attention to detail, including a high level of accuracy and demonstrate a high level of confidentiality.
- Proven ability to multitask and work well under pressure and to manage shifting priorities and interruptions in an office environment.
- Experience in similar position within a school is highly desirable.
