Role

The ES Range 1-2 Reception & First Aid Officer will be the first point of contact for the school community. The role is predominately required to support the operation and coordination of first aid at the school, supporting students presenting to first aid with injury or illness as well as maintaining compliance in the areas of first aid management in line with DE policy.

The role largely supports the operation and management of the general office including general school and business administration programs.

The role is required to work as a supportive and positive member in a team environment with other office staff, Business Manager and the Principal team.

At times it may be necessary to share/rotate jobs between educational support staff depending on demand and if required.

The successful applicant will be required to:

  • Support the community as the first point of contact, providing exceptional customer service to our students, their families and visitors
  • Undertake General Reception, Administration and components of Finance functions using the DE CASES21 system is a key focus of the role
  • Support the operation of the General Office and operation of school and business administration and community engagement programs
  • Supports processing of family payments and payment plans, allocation and support with CSEF funding and donations made to the NHS Thrive Fund
  • Provide first aid support to students (training will be provided)

This position is not required during term breaks. The nature of the role may require additional hours of work outside of the standard hours in which time in lieu will be provided and with notice.

The role requires a total of 30.08 hours (0.79EFT) across 5 days. The work day varies:

  • Monday - Friday, 6 hours 9am - 3:30pm

Plus a minimum of 30 mins unpaid lunch break.

Responsibilities

An education support class position at this range will perform tasks that are carried out in accordance with guidelines, accepted practice, and school policy under supervision and direction. This may include coordination of other education support class staff within the work area or educational program.

An education support class position supports the educational services being provided to students but must not include duties of a teacher as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or is successor. Supervision of students can be required individually or in groups up to 4 in controlled circumstances and where the responsibility for students remains clearly with a teacher.

Certification and/or qualifications of up to three years can be required at this level (noting that Registered Nurse is not included at this level, the first level for which is Level 1 range 3).

A role at this range may include:

  • Specific support tasks to achieve outcomes. Typically, this will involve accountability for a single function, (e.g. ensuring data is properly maintained) or the co-ordination of a work area under the direction of the principal or a manager.
  • Assisting teachers, within an educational program, by undertaking specific support tasks or the coordination of the support function.
  • Supervised health and wellbeing support tasks, medical intervention support tasks, or other specialised student/teacher support roles (e.g. enrolled nurses performing the role as described in schedule 3). These roles require specific qualifications and/or training, including roles where further training must be undertaken from time to time. The role is for a specific purpose, for which there will be direct accountability as opposed to support roles that are carried out by a range of staff performing routine tasks under direction.
  • Work professionally, courteously and cooperatively with internal and external clients. This role involves close interaction with a wide range of parents, students and staff.
  • Maintain confidentiality and sensitivity in all aspects of the role.
  • Maintain currency of professional knowledge and skills.
  • Assist in ensuring that the school complies with government regulations and policies.

General Administration

  • Receive visitors to the school and manage enquiries made to the general office in relation to school business
  • Respond to and/or direct all communications made to and within the school appropriately
  • Under the direction of those to whom you report, undertake duties that might include: Providing advice and information to community members in relation to office administration functions, enrolments, purchasing, financial operations, accounts, keys, attendance, filing, receipting payments, copying and secretarial work, CASES, Compass operations, mail, preparation of data, family transactions, reports and information
  • Provide support with enrolments, checking documentation handed in at the front office and where required processing of transition documentation from other schools
  • Liaise with colleagues to support the efficient operation of day-to-day activities, excursions, and events
  • Provide support for school organised events including organisation of catering
  • Liaise with external stakeholders including relevant financial institutions and the DE as required to support staff and families
  • Administration of student late and uniform passes when required
  • Mobile phone confiscation administration, support and follow up
  • Responsibility for maintenance and ordering of stationery, school branding materials, paper and photocopier supplies
  • Maintenance and troubleshooting issues and servicing pertaining to school photocopiers
  • Processing of family payments, including Compass, credit card, cash and BPay. Including accurate processing and monitoring of family charges and following up on outstanding payments, including payment plans
  • Providing support to families through the school's financial hardship avenues including coordination of student loan devices
  • Accurate processing and monitoring of Camps, Sports, Excursions Funds (CSEF) and family credits and processing of Thrive Funds donation letters
  • Balancing daily receipting and ensuring accurate record keeping
  • Implement strategies to ensure effective administration and financial procedures
  • Commitment to and development within a multi skilled office environment
  • Undertake other duties as may be deemed necessary by the Principal and Business Manager
  • All duties require accuracy in record keeping, attention to detail and require confidentiality to be maintained.

First Aid

  • Provide first aid commensurate with level of training in this area (training will be provided)
  • Record keeping; Incident reports, student sick bay logging
  • First Aid Kit audits over whole school
  • Ensuring First aid room is adequately stocked
  • Student record keeping e.g Anaphylaxis and Asthma
  • Ensuring families provide NHS with student management plans and medication e.g. Epipen and Plan
  • Epipen registering for each student and reminding parents when new medication should be provided to the school
  • Coordinating First Aid training for staff and ensuring those who need to be trained are trained
  • Record keeping for staff first aid training
  • Liaise with employees to support the efficient operation of day-to-day activities, excursions, and events in relation to student first aid
  • Other duties requested by the Principal or their delegate

  • Current and valid Working with Children Check is required.
  • Expertise and skills in the use of Microsoft Office, CASES21, Compass and learning management systems and first aid are not a prerequisite for this position (although an advantage)
  • Capacity to learn the programs and develop the skills to apply them to a high level is essential. Support will be provided throughout the training period, should this be required.
